Portal – Voicemail

Once you have logged into the portal you’re able to manage a variety of settings for your voicemail. To start, click the “View Messages” button on your main dashboard.This will take you to a list of any voicemail messages you currently have. You can play them, download them or delete them directly from this page.

There are also two buttons, “Greetings” and “Settings” in the upper right hand corner.

Greetings

Click on the “Greetings” button. This will take you to a page listing your current greetings and allow you to upload new greetings, review your current greetings or select the active greeting.

  • To Upload a greeting
    • Click the “Choose File” button
    • Select the file from your hard drive. We suggest that you upload .WAV formatted files
    • Click “UPLOAD”
    • The greeting will now appear below in your greeting list
  • To select current greeting
    • First click the PLAY button to review the greeting
    • Once you have selected the correct greeting, click the Radio button on the far left of the line
    • A message will appear saying “Greeting Selected”
  • To delete a greeting
    • First click the PLAY button to review the greeting
    • Once you have selected the correct greeting to delete, click the “X” button.
    • WARNING: Once you have deleted the greeting, we cannot restore it.

Settings

Now, go back to the main Voicemail page and click “Settings”. This will take you to a very detailed page allowing you make changes to your voicemail account.

  • Password: This allows you to change the password when you click the “MESSAGE” button on your phone
  • Options: This allows you to create options for the user when leaving a voicemail, for example in your message you can say “To reach my assistant press 1, to reach me via my cell phone press 2”
    • Option: enter the number the caller will press, in this case 1
    • Destination: select from the drop down where you would like to send them, either to another extension, a ring group, etc
    • Description: Enter a short description to help you remember where this is going
    • Add: Click add to save your changes
  • Mail To: This option will email your voicemail message to whichever email you specify. Enter your email address here.
  • Voicemail File: Leave the option as “Audio File Attachment”
  • Keep Local: If you enter an email you can select to keep the voicemail recording on the server. If you change this to “FALSE”, the voicemail will be deleted once the email is sent.
  • Forward Destinations: If you want another user to get copied on all your voicemail, select their extension number here.
  • Enabled: If you want to disable all your voicemail, set this to False

Basic Phone Usage

Making a call

  • Dial the number. We suggest you dial the number before picking up the headset. This allows you to make changes if you make a mistake
  • Pick up the headset. Picking up the headset will automatically dial the number. Or you can press “Send”.
  • The call will be placed.

Putting a call on Hold

  • While in the call press the “Hold” button on the phone.
  • The light will now flash, indicating the call is on hold.
  • To Resume the call, click the “resume” button or press the Flashing Line button.

Parking a call

  • While in the call press lower right LINE KEY.
  • This will now take you to a second page with a list of “Lines”
  • Select a “Line” with a green indicator next to it and press the key
  • The call is now “parked”
  • To resume the call, from any phone, press the line key with a red indicator next to it.
  • Calls that are parked for more then 30 seconds will automatically ring back to the parker.

Using the LDAP Directory

  • Press the directory button on the phone
  • Make sure first entry “LDAP” is highlighted
  • Click “OK” or “Enter”
  • Type the name using the keypad
    • To enter the letter “C”, press 1 three times.
    • To enter the letter “H”, press 4 twice.
    • Results will start to appear as the phone finds entries
  • Using the arrow keys, scroll up and down to find the entry you want
  • Press the “SEND” button to place the call

DND (Do not disturb)

  • Press the “DND” button on the phone to place yourself into Do Not Disturb mode
  • A Red “DND” icon will appear in the upper right corner of the phone
    • You will not receive any calls while in DND mode.
    • All calls will go directly to Voicemail
  • To remove yourself from DND, press the DND button again
    • The Red icon will disappear

Transferring a call (Unattended)

  • While in a call, press the “TRANSFER” button
  • Enter the number of the person you wish to transfer to
  • Press the “TRANSFER” button again

Transferring a call to voicemail

  • While in a call, press the “TRANSFER” button
  • Enter the number *99 followed by the person’s extension. For example: *991234
  • Press the “TRANSFER” button again

Creating a Conference

  • While in a call, press the “CONFERENCE” button
  • Call the second person to add to the conference
  • Once connected, press the “CONFERENCE” button again
  • You will now all be joined to a conference
  • You can have up to 3 people in an ad-hoc conference.

Checking your Voicemail

  • Press the “MESSAGE” button on your phone
  • You will be asked for a password, enter this followed by #

Call Forward a single incoming call

  • Before answering the call, press the “FWD” button.
  • Enter the number of the person to forward too
  • Press send

Referral Program Rules

Program Overview: The FFB Services Business Referral Program is offered by FFB Services, LLC (“FFB Services”) and provides the opportunity to refer your friends, colleagues, and associates to FFB Services and receive compensation. You must be an FFB Services customer to participate in the Referral Program.

Program Details: FFB Services will account credit (“Reward”) to any Eligible Referrer (as defined below) who refers an Eligible New Customer (as defined below) in compliance with these Referral Program Rules (“Rules”). Rewards will be calculated based on the number of unlimited or metered lines activated by the Eligible New Customer at ninety (90) days of service. The Reward will be issued only after the Eligible New Customer’s account has been active and in good standing for ninety (90) days. FFB Services reserves the right to add, modify and/or delete any Rewards and/or requirements to receive any Rewards. FFB Services’s decision with respect to all aspects of the Cash Referral Program is final and binding.

Definition of an Eligible Referrer: To qualify as an “Eligible Referrer: (1) you must be a legal resident of the fifty (50) United States and District of Columbia or Canada, who is 18 years of age or older, and (2) if you are an existing FFB Services customer, your existing account(s) must be active and in good standing at the time of the referral and must remain active and in good standing for a minimum of ninety (90) days after the account for the Eligible New Customer that you referred has been activated. Existing FFB Services customers, and former FFB Services customers whose accounts were cancelled or terminated as of November 18, 2013, are prohibited from referring themselves. Business owners are prohibited from referring their respective business(es) and are ineligible to receive a reward. Employees are prohibited from referring their respective employers and are ineligible to receive a reward. FFB Services Partner Program participants are ineligible to receive a reward pursuant to this Referral Program.

Definition of an Eligible New Customer: An “Eligible New Customer” is a business that (1) is not currently, and has never previously been, a FFB Services customer, (2) is not already registered as a FFB Services lead in FFB Services’s records, (3) signs up for a FFB Services plan with one or more unlimited or metered extensions while this Referral Program is still active, and (4) that maintains an active FFB Services account in good standing for at least ninety (90) days after activation of account in compliance with FFB Services Terms of Service. Former FFB Services customers are prohibited from qualifying as an Eligible New Customer.

How to Earn Rewards: In order to be eligible to earn Rewards, you must first be a current customer of FFB Services in good standing. Once you have completed the registration process, you will have the option of making referrals in two (2) ways: (1) by submitting your referrals directly to FFB Services via the form provided on the Referral Website, and/or (2) by using the tools provided on the Referral Website to create a personal link which you can then share via social media and/or email. If a business clicks on your personal link and follows the instructions to sign up for a FFB Services plan, and if that referred business ultimately qualifies as an Eligible New Customer, you will be eligible for a Reward for the referral (assuming you meet the definition of Eligible Referrer above).

If you choose to invite businesses to sign up for FFB Services via social media and/or email then (1) you must include the personal link provided to you from the Referral Website in your post/email, (2) you must state in your post/email that you are participating in this Referral Program and are eligible to receive Rewards, and (3) your post/email must be created and distributed in a personal manner that is appropriate and customary for communications with friends, colleagues and family members.

If an Eligible New Customer is referred by more than one Eligible Referrer, only the original Eligible Referrer validated by FFB Services shall be entitled to receive the Reward.

You agree not to abuse the tools in the Referral Website by conduct which is detrimental to the interests of FFB Services, including without limitation, attempting to make referrals or receive rewards in a manner inconsistent with these Rules or the intent of these Rules, attempting to earn rewards through illegitimate channels, participating in fraud, or tampering with Referral Program or its tools.

Reward Issuance: If there are options within the Program for method of Reward issuance (e.g., cash or account credit), it is the sole responsibility of the Eligible Referrer to communicate the desired method of Reward issuance to their FFB Services sales rep, or Customer Care at 855-515-VOIP. If the Eligible Referrer submitted the Eligible New Customer via the form on the Referral Website, the Reward method (i.e., cash or account credit) will be determined based on the selection made by the Eligible Referrer on such form. A W-9 form must be completed, submitted and approved for all Rewards, regardless of method, prior to issuance of Reward. The W-9 form must match the name of the person or company receiving the award. If no specific election of Reward issuance method has been made, the Reward will be issued to the Eligible Referrer in the form of a check. If a valid W-9 form has not been received and approved within one hundred and eighty (180) days of Reward eligibility ninety (90) days after New Customer has activated their account), the Reward will be forfeited. In the event the Eligible Referrer’s account has a past due balance, that balance will be deducted from the Reward. Rewards are considered taxable income and are subject to local, state and federal taxes. When the value of the reward items for which you have redeemed points reaches $600 or more in a calendar year, a 1099 tax form will be generated and mailed to you for tax reporting purposes. FFB Services recommends that you keep all statements sent to you for your record keeping purposes.

General Conditions: By participating in the Referral Program, you agree (i) to release, discharge, indemnify and hold harmless FFB Services, its parent, subsidiaries, affiliates, retailers, and advertising and promotion agencies, and all of their respective officers, directors, shareholders, employees and agents (collectively, “Released Parties”) from any liability or damages which may arise out of participation in the Referral Program or out of the acceptance, use, misuse or possession of any Reward or products attained through this Referral Program. All applicable federal, state and local laws and regulations apply.

Released Parties are not responsible for late, lost, incomplete, delayed, inaccurate, garbled, undelivered, misdirected referrals or Rewards or other errors or problems of any kind relating to or in connection with the Referral Program, whether printing, typographical, technical, computer, network, human, mechanical, electronic or otherwise, including, without limitation, errors or problems which may occur in connection with the administration of the Referral Program, the verification of Eligible New Customers, the tracking of referrals and Eligible New Customers, the announcement of the Rewards or in any Referral Program-related materials. Persons found tampering with or abusing any aspect of this Referral Program, who are acting in a disruptive or unsportsmanlike manner or who are otherwise not in compliance with these terms as solely determined by FFB Services will be disqualified and all points will be void. Released Parties are not responsible for injury or damage to participants’ or to any other person’s computer related to or resulting from participating in this Referral Program or downloading materials from or use of the Referral Website.

FFB Services reserves the right at any time to modify, suspend or cancel Referral Program at any time. Any changes FFB Services makes will be effective immediately on notice, which it may give either by posting the new terms on the Referral Website or via e-mail. Your participation in the Referral Program after such notice will be deemed acceptance of such changes. You should review these Rules periodically to ensure familiarity with the most current version. You will always be able to tell when the version was last updated by checking the “Last Revised” date at the top of these Rules. All questions or disputes regarding the Referral Program, including without limitation, those involving eligibility, participation, fraud and abuse will be resolved by FFB Services.

Your participation in the Referral Program constitutes permission for FFB Services and its designees to use your name, biographical information, image, likeness and/or statements about the Referral Program for advertising, trade, promotional and other purposes, in any manner, in any and all media now or hereafter devised, worldwide, in perpetuity, without additional compensation, notification or permission, unless prohibited by law.

Except where prohibited, all issues and questions concerning the construction, validity, interpretation and enforceability of these Rules, or the rights and obligations of the participant and FFB Services in connection with the Referral Program, shall be governed by, and construed in accordance with, the laws of the State of New York, without giving effect to any choice of law or conflict of law rules (whether of the State of New York, or any other jurisdiction), which would cause the application of the laws of any jurisdiction other than the State of New York.

Phone Installation

Installation is simple

  1. Unbox the phone. The box will contain the following
    • Your new Phone
    • Phone Stand
    • Power Adapter (may be shipped separately)
    • Handset and Handset Cord
    • Optional Headset
    • Ethernet Cable
    • Quick Installation Guide
    • CD-ROM
  2. Attach the stand to the back of the phone

  3. Connect the handset and optional headset

  4. Plug your ethernet cable into the port labeled “Internet” on the back of the phone. Connect the other end to your switch/hub device port

  5. Plug in your power cable to the DC5V port on the back of the phone. Connect the other end of the power adapter into an electrical power outlet
  6. Your phone will power on.
    • During the first boot it can take up to 5 minutes for the phone to reach our servers and get the configuration
    • Your phone may reboot multiple times, please leave the power plugged in
  7. Start making calls!
